General Policies

To gain admission to one of our esteemed programs at Alison College, students must successfully complete the formal application process by submitting either a domestic application or an international application. This rigorous process includes a thorough interview with one of our distinguished admission officers, who will meticulously evaluate the student’s eligibility and ensure that they meet all the necessary admission requirements for their desired program.

At Alison College, we hold a steadfast commitment to upholding the values of truth, fairness, and accuracy in all of our student interactions. Our unwavering dedication to providing our students with the most current and precise information about our programs and fees empowers them to make well-informed decisions about their academic futures. Admission to our programs is subject to strict suitability criteria and the prescribed admission requirements, which must be met without exception.

To be eligible for admission, students must meet the following requirements:

  • Hold a Grade 12 High School certificate (or equivalent).
  • Provide High school transcripts.
  • Be 18 years of age or older at the time of application.
  • Ensure that all non-English documents are translated into English.
  • Provide any additional documentation, such as a police check, (if required.

Please note that the following non-refundable and non-transferable fees will apply:

Application Fee: $150

All international students seeking to pursue their academic endeavours with us must demonstrate their proficiency in the English Language unless explicitly stated otherwise in the admission requirements for a specific program. Attaining English language proficiency can be achieved through the completion of a secondary school qualification where English is the primary language of instruction.

However, if English is not the applicant’s native language, they must meet the minimum English language proficiency requirements for all programs by demonstrating the following quintessential skills:

  • A CLB score of 5 or equivalent (IELTS 5) on another recognized test taken no later than two years ago
  • The IELTS test taken must be the Academic version

In the event that the language of instruction for the applicant’s previous academic qualification was English, an extra language proficiency exam will not be necessary. Notwithstanding, exceptions to these prerequisites will be assessed on an individual basis. For example, if the language of instruction in secondary school was not English but was used at the tertiary level, an exemption may be granted.

International students must ensure that all their academic qualifications are translated into English if the originals are not in English. To gain admission, the minimum requirement for international students is to have academic qualifications that are equivalent to the Canadian High School level (grade 12). In some cases where the evaluation or assessment of the qualification is required to determine an equivalency, students may refer to the following organizations:

  • International Credential Assessment Service of Canada (ICAS) (www.icascanada.ca).
  • World Education Services (https://www.wes.org/ca/).
  • International Qualification Assessment Services (https://www.alberta.ca/iqas-overview.aspx).
  • Canadian Information Centre for International Credentials (https://www.cicic.ca/).

The refund of paid tuition fees to international students, as received by the College by regulatory guidelines, will only be made according to the following conditions:

  • If IRCC refuses the student’s study permit. In that case, the College will refund the received tuition fee only upon receipt of the original “Refusal Letter” issued by IRCC and the initial “Acceptance Letter” published by the College. The student must also submit a written request on the prescribed “Fee Refund Form,” including the necessary bank account details to issue the refund.
  • If a government or organization produced the initially paid tuition fee, it would be refunded to them directly.
  • Refunds will only be issued if IRCC refuses due to forgery, misrepresentation, fake documents, etc.
  • The refunded amount will only include the received tuition fee. Application fees, documentation fees, or any scholarships Alison College offers will not be refunded or transferred to the student.
  • The tuition fee will be issued to the student, individual, or organization that initially paid the tuition.

Suppose a student arrives in Canada and withdraws before the start of the program. In that case, they are eligible for a full tuition fee refund, except for the non-refundable, non-transferable application and documentation fees ($ 150 + $500).

If the student’s contract is terminated after the vocational training has begun, the refund will be as per Section 17 of the Private Vocational Training Regulation:

  • If 10% or less of the activity has been provided, the refund will be 75%.
  • If more than 10% but 50% or less of the training has been provided, the refund will be 40%.
  • If more than 50% of the vocational training has been provided, there will be no refund.
  • If the College receives a tuition fee over the amount it is entitled to, the College will refund the difference to the government, agency, or the account from which the payment was received.

Alison College is dedicated to maintaining the privacy and confidentiality of its staff and students. Data collection is directly related to the needs of the college to manage the institution and student relationship.

The personal information students provide when applying to Alison College programs is safeguarded under the “Personal Information Protection Act (PIPA).” The college values the privacy rights of its students and is committed to protecting their personal information, which includes training employees and establishing control systems to ensure the responsible use of personal data by college employees while performing their work-related duties.

Access to personal information is limited to the following:

  • An individual accessing their personal information.
  • Any organization or person authorized by the individual to receive the information.
  • An employee of the college with authorized access based on a legitimate academic or business need.
  • An authorized Legal Agent/Government Agency/Representative in cases where the college must comply with releasing personal information.
  • Individuals or entities permitted by law, where deemed necessary for the reasonable conduct of college business.

All documents submitted to the college supporting a student’s admission become the property of Alison College and will be kept safe in the student’s files and will not be returned.

Academic Policies

At Alison College, we consider punctuality just as important as good attendance. It is expected that all students attend their classes regularly and arrive on time. If, for any reason, you are unable to attend a class, please inform the college immediately in accordance with the terms of your enrollment agreement.

Students who miss five consecutive days of classes must contact the director or their designated representative. Failure to attend classes does not constitute a withdrawal notice, and only two reasons will be accepted as valid for interrupting classes:

  • Medical reasons, for which the student must provide a physician’s certificate indicating the illness and dates on which the student cannot attend classes
  • Compassionate reasons, for which the student must provide a statement to the Director or designated representative explaining the cause and situation beyond the student’s control that prevented them from attending classes.

To request readmission, the student must submit a written request to the Director or designated representative. Readmission will be evaluated on a case-by-case basis. The student will be responsible for paying all college-related dues, including the termination date, per the refund policy. The student may need help to resume their program where they left off, and scheduling and completion dates may be adjusted.

In order to resume classes after an absence of five or more consecutive days or after missing a scheduled examination, students must obtain permission. To do so, they should schedule a formal interview with the director or designee as soon as they know their return date.

Alison College has established a student discipline policy under the laws, resolutions, and policy directives enforced by the Private Vocational Training Act. The college may enforce a discretionary graduated discipline policy, which includes but is not limited to the following actions:

  • Failure to pay tuition or other fees/dues to the college within 30 days of written notice by the college.
  • Dishonesty, academic fraud, nonattendance, abuse of drugs or alcohol, endangerment to students, staff, or employees.
  • Harassment or discrimination.
  • Reduction in grade “ZERO.”
  • Suspension or expulsion from the college, with specific reasons provided in writing.
  • Students may appeal the suspension or expulsion within three working days of notification, with the option to appeal to the Ministry of Advanced Education if the discipline relates to an approved program.
  • The Private Vocational Training Act and other laws/regulations will govern fee refunds. However, Alison College may have no legal obligation to refund tuition to any student who has been suspended or expelled.
  • Students who damage, misuse, steal, or otherwise violate property may be expelled.
  • A suspension or expulsion will be recorded on a student’s academic record and placed and retained in their file.

At Alison College, we uphold the utmost principles of academic integrity and strongly condemn any form of cheating or plagiarism. Our zero-tolerance policy regarding such misconduct underscores our commitment to maintaining a fair and equitable academic environment for all our students. Any student found to be engaged in cheating or plagiarism will face strict penalties, including expulsion from the college.

Cheating can take on many forms, including but not limited to the following:

  • The use of unauthorized materials or aids during a test or exam.
  • Impersonating another student during class or evaluation.
  • Sharing unauthorized materials during a test or exam.
  • Falsifying or misrepresenting academic records.
  • Deliberately impeding or attempting to impede other students access to learning resources.
  • Any act of copying, whether it be through visual, oral, notes, printed material, or electronic means, for the purpose of gaining an advantage for oneself or another student is absolutely intolerable.

Violations that undermine the academic integrity of our institution may be subjected to disciplinary measures as outlined in the Disciplinary Procedure. These sanctions may range from the award of a zero grade for a particular piece of work or examination to receiving a fail grade for the entire course to academic probation, suspension, and even expulsion from the college.

Students may contest any charges brought against them by following the guidelines of our Dispute Resolution Policy, which provides a clear and fair process for resolving academic misconduct disputes.

At Alison College, we take great pride in ensuring that our students graduate with the knowledge and skills necessary to succeed in their respective fields. As such, we have established clear guidelines for course/module completion, retakes, and failing grades.

To obtain graduation, students must satisfactorily complete each course/module included in their program of study. In some cases, students may need to retake a course/module during their program. Unless otherwise specified, students are permitted to fail a maximum of three courses/modules throughout their academic journey. It should be noted that certain programs may be subject to stricter regulations and, therefore, may have different requirements.

If a student fails a course/module once during their program, they are permitted to retake the course/module without incurring any additional charges. However, subsequent failed courses/modules will be charged at the total cost of the course/module.

To qualify for a course/module retake, students must meet the following requirements:

  • Completed an interview with the Director/designee.
  • Displayed punctuality for classes.
  • Demonstrated good attendance and conducted in class.
  • Completed all requirements for the course/module but did not achieve a passing grade on the first attempt.
  • Met all other disciplinary and graduation requirements.

We believe that our retake policy strikes a fair balance between providing students with opportunities to succeed while also maintaining academic rigour and program standards. Our goal is to help our students achieve their full potential and reach their academic and career goals.

Note: During the program, some course/module(s) may incorporate an online or blended learning component. The college reserves the right to modify the adopted text or the edition/version used at any time. As with any material, errors may occur in the textbooks used by the college.

The college’s policy on withdrawals and refunds is in line with the regulations set forth by the regulatory bodies in the province of Alberta. Students who wish to withdraw from their studies must meet with the Director or a designated representative to discuss their reasons for withdrawal and submit a written withdrawal letter in person or via registered mail to the Director. The letter should state the withdrawal date and reasons for withdrawal. Suppose a student needs to provide written notice of departure before attending classes. In that case, the college will consider them absent, which will be reported to the relevant authorities, such as student loans, funding agencies, and immigration authorities.

To ensure fairness and consistency, Alison College employs a standardized grading system. This system assigns a letter grade or a percentage grade based on a student’s overall performance in the course. A letter grade is often used to indicate the student’s performance in a particular class, while a percentage grade is a numerical representation of the student’s overall performance. Grading can be based on performance in the class, projects, assignments, tests and exams.

In case of academic issues, students are encouraged to first try to resolve the matter with their instructor. If the instructor fails to reach a satisfactory solution, the student may escalate the issue to the Director or their representative for resolution. After consulting with the student and instructor, the Director will make a decision. It is important for students to communicate any academic issues as soon as possible to ensure timely resolution and to prevent any negative impact on their academic progress.

At Alison College, we recognize that graduation is an important milestone for our students, and we are proud to celebrate their achievements. A graduation ceremony is a formal event that allows graduates to share their success with family, friends, faculty, and staff. Graduation ceremonies will be held annually. In order to receive an invitation to participate in the Graduation Ceremony, students must:

  •  Complete all requirements of the academic program.
  •  Ensure that all tuition and other dues have been paid in full.

Alison College is dedicated to maintaining a learning environment that is safe, equitable, and responsive to the needs of all students. The college is committed to addressing student concerns promptly and fairly to ensure student satisfaction and college compliance with the Provincial Private Vocational Training Act. To achieve this goal, the college has established a “Resolution Committee” to address any formal or informal student complaints or grievances.

  • Alison College has designated a “Student Counsellor” who will be available to handle student complaints or grievances correctly and on time.
  • If a student has a concern, they should first attempt to resolve it with the individual directly involved.
  • If the student is unsatisfied with the outcome, they should submit a written complaint to the “Student Counsellor.”
  • A “Student Complaint Form” is available for students to bring their concerns to the administration’s attention.
  • If the issue cannot be resolved at the level of the “Student Counsellor,” it will be referred to the Resolution Committee.
  • The committee will attempt to resolve the issue within 30 days, and the college will keep a copy of the resolution on record for up to three years. Suppose the student is not satisfied with the college’s decision after the review with the Resolution Committee.

STUDENTS CODE OF CONDUCT

Alison College strives to create a positive and vibrant learning environment with competent faculty members throughout our diverse campus. For the safety and professionalism of all individuals, students are required to familiarize themselves with the institution’s code of conduct, which encompasses the following areas:

  • Dress Code Protocol: In preparation for their future careers, students are strongly advised to dress in a professional and polished manner that is appropriate for their desired field. To this end, we recommend clean and tidy attire that is suitable for regular or casual business environments, such as blue jeans, track pants, shorts, and T-shirts, are permitted, but any apparel with offensive, discriminatory, or sexually suggestive messages is strictly forbidden.
  • Conduct: The college expects students to have positive attitudes and polite behaviour towards their fellow students, college staff, and instructors. The institution has a zero-tolerance policy for bullying, gender or cultural discrimination, sexual harassment, or abuse. Respect for other religions and cultures is also required.
  • Computer Usage: We kindly remind all students of the strict policies governing computer usage at our college. While using college computers, students must adhere to the following guidelines:
  • No food or beverage is allowed in computer labs.
  • All pen drives and diskettes must be scanned for viruses and malware before use on college computers.
  • The deletion of any file or program from college computers is strictly forbidden.
  • College computers must not be used for illegal or unlawful purposes, including copyright infringement, obscenity, libel, slander, fraud, defamation, forgery, impersonation, illegal gambling, computer tampering, or spreading computer viruses.
  • Accessing unauthorized or restricted areas of computer hard drives, including program files, registry files, and system files, is strictly prohibited.
  • Uploading any file or program is not permitted.
  • Miscellaneous: In addition to the above guidelines, the institution expects students to:
  • Demonstrating honesty and accuracy when creating their resumes
  • Showing up on time and adequately prepared for all classes
  • Refraining from stealing books or study materials
  • Avoiding any damage to college property
  • Refraining from defaming or criticizing the college or its staff members
  • Abstaining from smoking on college grounds unless in designated smoking areas
  • Refraining from consuming alcohol or drugs while on college grounds
